Custom automation for phone sales & service teams

Automations built around how your phone sales team actually runs.

I build automations that take the busywork off your phone team: call reviews, reports and missed-call follow-ups. Every system is built around how your team already works.

Built on systems I already run every day for a high-volume sales operation.

The problem

Your managers spend their days on spreadsheets instead of coaching.

Pulling stats from the phone system, building the same report every week, listening to a handful of calls when there's time. It's slow, it's easy to get wrong, and it keeps your best people away from the floor.

Today

  • Reports built by hand, and errors caught late, if at all
  • Data scattered across tools that don't talk to each other
  • Problems surface only when someone happens to notice
  • Follow-ups depend on someone remembering

With automation

  • Reports built, checked and delivered on schedule
  • Your tools connected, so data moves on its own
  • Issues flagged the day they happen, with the details attached
  • Follow-ups sent or assigned automatically

What I automate

Three things I build for phone teams.

Each one is running in a live sales operation today, and each build is shaped around your phone system and sales process.

Call analysis & coaching

See what's happening on every call, not just the few a manager had time to hear.

  • Daily call analysis and coaching briefs
  • Red-flag alerts for things that shouldn't be said

Agent scorecards

Every agent's performance in one place, instead of checking several systems.

  • Struggling agents visible at a glance
  • The specific areas each agent needs help with

Automated reporting

Your numbers pulled from the phone system, checked, and delivered on schedule.

  • Daily and weekly reports, including missed calls
  • Stats synced automatically, with no manual entry

Example build

Daily call analysis for a phone sales team

Managers could only review a handful of calls each week, so lost sales and bad habits went unnoticed until results dropped.

Now every lost-sale and inquiry call is transcribed and reviewed overnight. Managers start each day with a short brief showing who tried to save the sale, who didn't, and anything said that shouldn't have been.

  • Before

A small sample of calls reviewed by hand

  • After

Every relevant call reviewed, every day

  • Tailored

Built around that team's sales process, objections and rebuttals

How it works

Start with what's costing you the most, then build from there.

  1. Free audit

A 20-minute conversation about where your team's time goes. You leave with the two or three things I'd automate first, whether or not we work together.

    20 minutes · free
  2. Custom build

I design the automation around your process, connect it to your tools, and test it on your real data before anyone relies on it.

    Usually 1–3 weeks
  3. Run & improve

I monitor it, fix anything that breaks, and adjust it as your business changes. When you're ready, we take on the next process.

Your tools

Works with the phone system and tools you already use.

Cloud phone systemsCall recordingsGoogle WorkspaceSpreadsheets & databasesEmail & Slack

No need to switch phone systems. Most cloud phone systems let approved apps read call logs and recordings, though it can depend on your plan. Recordings without transcripts are transcribed automatically. During the free audit I confirm exactly what your setup allows, before you pay for anything.

About

I'm an operator first. I built these systems for my own team.

I'm Ryan Thiel. I lead a multi-brand phone sales operation, and I got tired of running it on hand-built reports and a handful of reviewed calls. So I built the automations to fix it: reporting, call analysis, agent scorecards and data syncing, now used every day by our managers and team leads.

I hold an AI Automation certificate from Western University (Western Continuing Studies), covering how to design, build and safely roll out AI automations in a business.

Now I help other businesses do the same. You work with someone who understands targets, teams and day-to-day operations, not only the technology.

Questions

Why not just buy a call analysis tool?

Tools record and summarise calls. I build a system that tells your managers who to coach tomorrow and why, judged against your own sales process and combined with your sales numbers, delivered where your team already works. If you already pay for a call tool, I can use its transcripts as the starting point instead of replacing it.

Do you sell ready-made packages?

No. Each build starts from patterns I've already proven in a live business, then gets shaped around your tools and process. That's why it's quicker than starting from scratch, and why it fits how you work.

What kinds of businesses do you work with?

Teams with people on the phones: inside sales, call centres, customer service, and businesses that sell or book by phone, like trades, clinics, brokers and dealerships.

Do I need to change phone systems?

No. I connect to the phone system and tools you already use. Your team keeps working the way they do now, with less manual work.

Who owns what you build?

You do. Everything runs on accounts you own and is documented, so it doesn't depend on me to keep working.

What about data privacy?

Your data stays in your accounts, access is kept to what each automation needs, and sensitive details can be redacted. We agree how long anything is stored before I build.

What if something breaks?

Monthly support covers monitoring and fixes. Most issues are caught and fixed before you notice them.
